Enhancements

Improved filter in the employee folder​

Before: ​ 4 clicks were necessary to filter a document type

Now: ​

  • It takes only one click to filter a document type​
  • It is now possible to filter document status
  • User experience is now consistent with other filters in the system

Bugfixes

Error in user imports:  It was impossible to delete from the system any HR user or admin who had previously exported activation codes for the Employee Vault – even if they left the company or changed their role  --> FIXED

File download limit: When trying to bulk download documents, some users were hitting a limit of how many they could download at one time. To avoid this situation, we have increased the limit to 85 documents in a single download -> FIXED

Multi-organization filter

Users will now be able to filter process lists by selecting multiple organizations at the same time. ​

This gives them a better global overview of the scope they are currently interested in and saves them time, as they no longer have to select all organizational processes individually and one after the other.​

The filters are going to be available on the "All processes" page.​

Some instruction fields were not visible when previewing forms

When an instruction field is set as "Visible only by Employee", the instruction text is not displayed when the form is previewed as an employee:

New Knowledge Base Interface​ : Presentation

UKG HRSD People Assist releases a whole new Knowledge Base interface in open beta, starting from July 2021. ​

It aims at simplifying the management of categories and articles, particularly in an international, multilanguage context.​

New Knowledge Base Interface​ : New Features

  • New category and article interfaces in administrative mode for a better overview
  • Improved display of the listing of articles in administrative mode, with additional information directly visible, such as employee and user access restrictions.
  • Bulk actions to edit several articles at the same time.

New Knowledge Base Interface​ : Special Features for Multilingual Platforms

For customers using multilingual platforms, the new interface provides:

  • Creation of multilingual articles and categories, providing a smooth interface in several languages.​
  • Access by employees and HR users to multilingual categories and articles, making sure everyone has access to the appropriate information.

New Knowledge Base Interface​ : Rollout Plan

The new Knowledge Base will be rolled out to staging environments for monolingual platforms on September 13th, and then rolled out progressively on production environments for monolingual platforms in October and November.

Please contact your CSM if you would like to activate the New Knowledge Base now in your staging and/or production environments.

Note: Rollout information for multilingual platforms will happen in the September release note.

Default Values On Custom Fields When Using APIs​

Creating an employee profile using the user interface in Document Manager forces the user to define a value for each field. Depending on the custom field type:​

  • List and Integer (number entries): a value must be selected​
  • Boolean (checkbox): not mandatory but an unchecked checkbox is considered false (unchecked)
  • String (text field): not mandatory, and an empty string is a valid value​

When creating an employee profile using APIs, if all other mandatory fields are provided, bypassing custom fields still works. But the default values are not applied to the employee profile.

When using only APIs to manage employees, this was not an issue, as defaults values were provided by the APIs.​

But the user could not see the employee’s custom fields in Employee profile in Document Manager and needed to set them again when updating the employee profile manually.​

The API endpoints for creating and updating employees on client namespace were improved to apply the default values on custom fields not provided:​

  • POST /employees​
  • PUT /employees​
  • PATCH /employees​
  • PUT /employees/by_external_id/{id}​

Bugfixes

Data Set Example File

The data set example file provided by the link in the user interface of the "Data sets administration page" led to a broken file. Now it is fixed and the example file is the same as the example described in the technical documentation.

Use of the operator: != (not equal)​​

The API didn't allow the use of the operator != (not equal) when creating and updating user profiles. It was only possible to use this operator in Document Manager>Admin>Users. We fixed this bug to align the API with the Document Manager user interface behaviour for the endpoints:

  • POST /users​
  • PUT /users/{id}​
  • PATCH /users/{id}

  • Column names and order importance​
  • Authorized languages and country/state codes​
  • Departure_date column and how this data is used for registration (only for employee synchronization)
