in PROD-EU 

While using GETemployee_documents endpoint along with ElasticSearch activated, sometimes the number of results was inconsistent with the number of displayed results per page. The problem was due to the fact that we used to index enterprise_signature results without displaying them.In order to be consistent, we now stop retrieving results with enterprise_signature(origin 11).The bug is now fixed.

Local Access Management : Clean up on Permissions

Permission: "Access the Process Tab and View List of Processes"

Why?

The first step on the way to a more granular user permission is a user interface that corresponds to what the user permissions allow (and only that).​

Who?

HR user who only has the permission "Access the processes tab” and “View list of processes".​

What ?

Deactivation of display of actions that cannot be carried out with this permissions:​

  • “New Process" button is hidden​
  • Filter "Orga" is hidden for "All processes" as well as for "Processes created by me”

Change DPM Tabs order

"All Processes" 1st after "My Tasks"

Why?

User research did show the Users usage, we moved tabs regarding it (see next slide)​

Who?

Any user who creates and/or tracks processes (HRUser and Admin HR)​

What?

  • Changing the order of the process-related tabs​
  • After logging into People Assist, the first navigation on DPM leads to the "All processes"tab​

Click on "Publish" button leads to page reload​

Why?

When a user clicked on the "Publish" button, the interface did not show any change and the "Publish" button was still visible. So, users clicked the button a second time thinking the process was not published ​

=> This redirected them to a server error page​

Who?

Any new user publishing processes (users who have been in the system for a while have helped themselves by manually reloading the page)​

What?

After clicking on "Publish", the page is now automatically reloaded. The corresponding buttons "EDIT" &"CANCEL PREVIOUS" are displayed directly.​
Additional security in case of an accidental (too fast performed) double click, so that it does not lead to an error.

Bugfixes – People Assist Employee Portal

New redesigned homepage

Inconsistency with featured articles labels

The term "Featured Articles" referred both to articles displayed on the front page of the new portal and to a specific section of the old portal, causing confusion.

The problem has been fixed: 

  • KB administrator: under article settings, change the option 'List this article on the homepage under"Outstanding articles"' to: ' List this article on the homepage under "Recommended articles".
  • KB administrator: under article settings, change the option 'Display this article permanently at the top of the homepage' to: " Pin this article under 'Recommended articles' on the homepage: " Pin this article under'Outstanding articles' at the top of the homepage"

Why?

As a Privacymanager and HR Administrator I want all the People Assist employee data that is no longer necessary to be automatically and permanently deleted

So that I am compliant with Privacy laws (GDPR and CCPA) for the employee data lifecycle management.​

🚀 Create A Retention Policy For People Assist Data

Why ?

  • HR Admin needs to configure retention policies in autonomy for all employee personal data available in HRSD
  • HR Admin needs to visualize the impacted data to identify errors in the configuration

What ?

  • A new section in the HR Admin of Document Manager under a new Core permission "Manage retention policies"
  • The user can create a retention policy for all requests or/and processes (period + trigger)
  • The user is informed before the creation about the impact of the retention policy

🚀Automatic Hiding, Then Permanent Deletion

Why ?

  • HR admin needs an automatic deletion of the employee data
  • HR admin needs to control data in progress of deletion and have time to fix errors before the permanent deletion

What ?

  • When the retention policy is over, the requests and processes are automatically hidden in the HR and employee interfaces within the next 24 hours.
  • After 90 days, the hidden requests and processes will be automatically and permanently deleted.

🚀 Restore Data By Deleting A Retention Policy

Why ?

  • HR Admin needs to restore data in case of errors in the configuration of a retention policy

What ?

  • The deletion of the retention policy causes the restoration of hidden data (and not of deleted data)
  • The restauration of data will be effective within the next 24 hours
